Follow these steps and you will start to feel some major progress in your ministry
Tips for Choir Directors who are stressed out and need to buy back time:
1) Recruit and train a choir librarian - A choir librarian (that you train) can be a lifesaver in any music ministry. It is someone that knows how to copy, hole punch, assemble choir folders and help you with routine tasks that suck up your time. Pick a detail oriented person that is easy to get along with, ask them if they would consider being the choir librarian volunteer for 2-3 hours once a week, and then teach them how to do basic tasks such as put music into folders. Tell them how their work makes such a big difference for the choir...
2) Work in big batches - Did you know, it takes about 23 minutes to really get back on track once you get distracted from a task? Most people lose hours of time each day because they get distracted by this and that. My suggestion is for you to work in big batches. Pick an important task, such as selecting music for the fall. Then, do ONLY that task for a couple of hours. Ignore phone calls, emails and other distractions. You'll notice, you will actually start to relax and enjoy the process when you set those boundaries for yourself. Even better, you have just saved a ton of time by focussing on one thing without getting distracted. Huge time saver!
3) Do the most important tasks first - If you still feel stressed for time and are 'under the gun', take 15 minutes to do this exercise: Write out all the tasks that are essential to your job. If you didn't do these tasks, you would fail at your job. After that exercises, try doing ONLY those things for a day or two. By doing this exercise, you will realize how many things you were trying to take out outside the core of your job description. Why are you taking on the world? Start with the essential parts of your job, work in big batches and you will save lots of time!
Do these three things and you will buy yourself back hours of time each week.
